2010-2011 Board of Directors
We are pleased to present the 2009-2010 Colleyville Baseball Association Board of Directors. The Colleyville Baseball Association Board of Directors Officers include the President, Vice-President, League Commissioner, Treasurer, and Secretary. The current Board also has ten (10) "At Large" positions based on function for a total of fifteen (15) members.

Board Of Director Duties
Below are the duties and responsbilities of each of our board of directors.
Position |
Job Duties |
President |
Duties of the Board President are defined as:
- To preside over all meetings
- To break any tie vote.
- To call Executive Board meetings as needed.
- To coordinate with the Secretary an agenda for every meeting.
- To communicate and work with the City of Colleyville and the Parks and Recreation Department towards the goal of providing the best supervised youth baseball in the metroplex.
- To manage the Officers of the association and ensure that all duties of the Executive Board are completed in a timely fashion.
- To appoint committees, and act as an ex-officio member at committee meetings.
- To perform such other duties as the Executive Board prescribes.
- To assist the Commissioner set up, organize, and conduct coach looks, and drafts for baseball.
- To select members of the Sportsmanship committee as defined by the bylaws: two non-board members and three board members.

Vice President |
Duties of the Board Vice President are defined as:
- To preside over all meetings in the absence of the President.
- To obtain bids and select a photographer, with board approval, for the seasons team pictures and sponsor plaque’s pictures.
- To schedule and coordinate the team pictures with the approved photographer and the league/division commissioners.
- To provide coach clinics and training as deemed appropriate.
- To obtain bids and select a provider for the Fast Track program, with board approval.
- To obtain bids and purchase trophies, with board approval.
- To conduct, attend and/or assist in the umpire and scorekeeper training.
- To distribute trophies to the appropriate commissioners.
- To assist the Commissioner set up, organize, and conduct, coach looks, and drafts for baseball.
- To coordinate with the age group commissioners all practice facility administration.
- To act as chairman of the Sportsmanship Committee.
- To prepare and communicate potential succession plan of the board as deemed appropriate.
- To perform duties as assigned by the President.

Treasurer |
Duties of the Board Treasurer are defined as:
- To receive and collect all funds.
- To dispense all bills and charges under the direction of the board.
- To maintain the financial status of the association using the association's computer and financial software.
- To provide a full report of receipts and expenditures, deposit balances, and financial condition at each regular meeting of the
- Executive Board, and at the annual membership meeting.
- To file tax returns and forms required to maintain non-profit status and report all filings to the board.
- To procure and manage the insurance for CBA with Executive Board approval.
- To perform the duties as assigned by the President

Secretary |
Duties of the Board Secretary are defined as:
- To make and preserve the minutes of all meetings.
- To keep all committee reports.
- To maintain the record books in which the bylaws, standing rules, and minutes are entered, with any amendments to these documents properly recorded, and to have the current record books on hand at every meeting.
- To prepare an agenda for each meeting with the coordination of the President.
- To maintain a complete list of all voting Officers of the association and maintain a list of the entire membership.
- To notify all Officers of the association of Executive Board Meetings.
- To secure reports from League commissioners.
- To make and distribute copies of the bylaws, standing rules, and any standing resolutions to new Officers of the association.
- To represent CBA at meetings with other Athletic Associations or governing bodies as deemed appropriate.
- To act as apparel coordinator for the CBA board providing options for hats and shirts as deemed appropriate.
- To perform duties as assigned by the President.

League Commissioner |
Duties of the Board Commissioner are defined as:
- To serve as a communicator/facilitator between the Executive Board and the Age Group Commissioners, Managers/coaches in their respective leagues.
- To recruit age group commissioners and to provide a list of age group commissioners for approval by the board.
- To implement rules, policies, and procedures as established by the board. To set up, organize, coach looks, and drafts for baseball.
- To preside over all meetings of team managers.
- To schedule all games, make ups, Tournaments, and practices for their respective league using field usage schedules from the Director of Scheduling/President.
- To serve as the focal distribution point for their respective league's equipment, pictures, trophies, fund- raiser, newsletters and other items which need to be distributed to each team. To assist the age group commissioners in the procurement of managers and registered coaches for each team of the league/division.
- To submit, for board approval, a list of managers and registered coaches in the league/division. And also distribute a list of approved coaches, team names, and team moms along with their phone numbers to each member of the board.
- To maintain accurate team rosters, and report to the board any time a player is dropped from a roster for any reason.
- To provide the following information to each manager/coach in the commissioner's league/division:
A) CBA rules for the respective league
B) Roster of the Executive Board
C) Team roster with parent names, addresses, and phone numbers
D) Schedule of games and tournaments
E) Schedule of practice fields
G) Medical releases
H) Uniform sizes requested by the players
I) List of coaches in the respective league/division and phone numbers
- To perform duties as assigned by the President.

Umpires |
Duties of the Board Umpire Director are defined as:
- Recruit and train umpires in for our umpiring pool.
- Communicate with umpires, CBA board, age group commissioners, and coaches about any changes to rules.
- Schedule umpires for games for the organization.
- To perform duties as assigned by the President
|
Concessions |
Duties of the Board Concessions Director are defined as:
- To maintain all aspects of the concession stand, including but not limited to stocking the food and drink items, order items necessary for maintenance, inform the Executive Board when additional supplies and equipment is needed for purchase.
- To maintain the concession bank account, making all disbursements and deposits to the account. To also provide treasurer with detail of all transactions.
- To make sure the concession stand is manned at all times.
- To perform duties as assigned by the President.

Traveling Teams |
Duties of the Board Traveling Teams Coordinator are defined as:
- To be the Administrator/Representative to NTI and Bear Creek in all levels of Select, Rec., and Classic leagues.
- To facilitate dates, times, and places for all tryouts with each age group commissioner, making the necessary public advertising for Select tryouts.
- To assist the Commissioner set up, organize, and conduct, coach looks, and drafts for baseball.
- To perform the duties as assigned by the President

Communications |
Duties of the Board Communications Director are defined as:
- Maintain and keep the www.colleyvillebaseball.com web site current with good information for the public at all times.
- To assist with the registration process as deemed appropriate by Director of Registration and Board.
- To perform duties as assigned by the President.
- To serve as a communicator/facilitator between the Executive Board and the Age Group Commissioners, Managers/coaches in their respective leagues.
- To recruit age group commissioners and to provide a list of age group commissioners for approval by the board.

Registration |
Duties of the Board Director of Registration are defined as:
- To update and maintain the association’s database.
- To conduct registration. This is to include the following:
- Mail out of registration postcards to all eligible children within the database.
- Procurement of location for registration.
- Set up of registration, soliciting volunteers to work registration with detailed instructions for all volunteers.
- To solicit bids for team uniforms.
- To select and purchase uniforms with board approval.
- Assist commissioners with making and distributing copies of the following materials to each coach through the appropriate commissioner:
A) CBA rules for the appropriate league/division
B) List of current Board Members
C) Medical release forms
D) Team roster with parent names and phone numbers
E) List of league/division coaches names and numbers
- To distribute all team uniforms to all teams or commissioners.
- To coordinate and correct all uniform problems with the distributor.
- To submit, for board approval, a budget of uniform expenses.
- To perform the duties as assigned by the President.

Scheduling |
Duties of the Board Director of Scheduling are defined as:
- To coordinate with President/City and Commissioner, the scheduling of the Colleyville City Park fields for play during both the Spring and Fall Seasons.
- The schedules are to be set up in line with established board policy and will take into consideration all recreational and travel teams. This individual will not be responsible for the scheduling of any tournament games on the fields.
To communicate the completed schedule to all appropriate personnel including Director of Umpires and Director of Concessions.
- To reschedule make-up games and coordinate field reservation accordingly.
- To perform duties as assigned by the President.

Fund Raising and PR |
Duties of the Board Fund Raising Director are defined as:
- To serve as communicator/facilitator between community businesses and the Executive Board on fund raising opportunities.
- To secure and implement the Spring fund-raising event, including but not limited to the main fund raising event, all prizes associated with that event if necessary, information to be handed to the participants as well as board members and coaches for their participation.
- To coordinate and administer all items related to Opening Day ceremonies.
- To perform duties as assigned by the President.
Duties of the Board Public Relations are defined as:
- To run advertisements in the local newspaper regarding registration.
- To produce registration information flyers and distribute them to all local schools and public bulletin boards.
- To write and submit articles to the local newspaper for the association.
- To write a monthly newsletter (during the Spring season) and distribute to the commissioners. Commissioners will distribute the newsletters to the teams.
- To coordinate with the local cable television company regarding registration advertisements, CBA information, and showing video taped league games.
- To assist with the organization of Spring and Fall registrations.
- To recruit volunteers for the organization to assist with functions of board members and other tasks needed by the CBA, it members and board members.
- To assist coaches and age group commissioners in ensuring that each team in the association has a team mom/dad.
- To work closely with commissioner and age group commissioner to communicate with all team moms within the association.
- To conduct, along with the vice president, a score-keeping class for all interested parties.
- To perform duties as assigned by the President.

Tournaments |
Duties of the Board Tournament Director are defined as:
- To propose dates for tournaments to be held by CBA for both the Spring and Fall seasons. Once approved by board, it will be the responsibility of the Tournament director to advertise, solicit, coordinate and implement all activities surrounding said tournaments.
- To work with Commissioner and Scheduling coordinator to coordinate end of season recreational tournament.
- To assist the Commissioner set up, organize, and conduct, coach looks, and drafts for baseball.
- To perform the duties as assigned by the President.

Equipment |
Duties of the Board Equipment Director are defined as:
- To make an annual inventory report.
- To select and purchase all required equipment with board approval.
- To organize and supervise the distribution and collection of all equipment.
- To supervise the storage and security of all equipment and CBA facilities.
- To submit for board approval, a budget for equipment at least 30 days prior to the start of the season.
- To perform duties as assigned by the President.

All-Stars |
Duties of the Board Summer Baseball Director are defined as:
- To develop and execute plan to create a premier summer baseball program in North Texas.
- To increase the competitiveness of the All Star and summer baseball teams.
- To investigate and increase the opportunities for summer baseball by identifying the best opportunities for each age group.
- To communicate to the CBA membership the vision and opportunities available for the summer baseball program.
- To take the primary role with an assist from the CBA League Commissioner, the Age Group Commissioners and age group coaches to select summer baseball coaches.
- To coordinate the player ranking and selection process for summer baseball and preside of the All Star selection process.
- To assist the Summer Baseball coaches in selecting the proper venues to participate in.
- To assist coaches with the procurement of uniforms.
- To work with the CBA League Commissioner to develop the over-all level of coaching within the CBA.
- To perform duties as assigned by the President.

Junior Commissioner |
Duties of the Board Commissioner are defined as:
